Overview

Every calendar campaign shows a status badge. There are six values: Draft, Scheduled, Active, Paused, Completed, and Error. This article explains what each one means and how a campaign moves between them.

One key idea makes the rest clear: for a running campaign, the status is worked out from the progress of its sending batches, not set by hand. As batches move from waiting to done, the status follows.

How it works

When you launch, Tantra splits your audience into batches that send over time. See How invitations are batched and sent. The status reflects where those batches stand:

  • If a batch is being sent right now, the campaign reads Active.
  • If every batch is done, it reads Completed.
  • If batches are still waiting to send, it stays Active because there is work left.
  • If a batch has failed, it reads Error.

This is why a healthy campaign stays Active for days. It is not stuck. It is working through one batch every 24 hours until the list is finished.

The six statuses

StatusMeaning
DraftCreated but not started. No invitations have gone out.
ScheduledSet to start at a future time. It will activate on its own when that time arrives.
ActiveRunning. It has sent some batches and has more to send, or is sending now.
PausedYou paused it. No further batches go out until you resume.
CompletedEvery batch has been sent. The full audience has been invited.
ErrorAt least one batch failed to send. Some invitations may not have gone out.

How campaigns move between statuses

  • A brand new campaign starts as Draft, or Scheduled if you set a future start.
  • Scheduled becomes Active automatically when the start time arrives.
  • Draft or Scheduled becomes Active when you start it. See Schedule, start, and pause a campaign.
  • Active becomes Paused when you pause it, and back to Active when you resume.
  • Active becomes Completed once all batches are done.
  • A failed batch moves the campaign to Error.

Screens and controls

The status badge appears on every row of the Calendar Campaigns tab on the Campaigns page, and on each campaign's detail page. The row actions available change with status: a draft or scheduled campaign offers Start Campaign, an active one offers Pause Campaign, and a paused one offers Resume Campaign.

What happens next

  • Draft: nothing sends until you start it. Open it, confirm the details, and start it.
  • Scheduled: leave it. It activates within a few minutes of its start time, then the first batch goes out.
  • Active: invitations continue in batches every 24 hours. Watch the Sent and Not Sent counts and the RSVP columns move.
  • Paused: sending is stopped. Resume when you are ready.
  • Completed: sending is done. Keep watching RSVPs, which continue to update. See Track RSVPs and campaign results.

Best practices

  • Treat a long-running Active status as normal for a large list. Batching spans days.
  • Use Paused rather than deleting when you need to stop temporarily, so progress is kept.
  • Investigate Error promptly, since some invitations may not have reached prospects.

Common mistakes

  • Reading Active for several days as a stuck campaign. It is pacing batches on purpose.
  • Expecting Completed to mean everyone responded. Completed means everyone was invited, not that everyone replied.
  • Ignoring Error. It signals a batch that did not send.

FAQ

Why is my campaign Active for so long?

Invitations go out in batches, one every 24 hours. A large list takes several days, so the campaign stays Active the whole time.

Is the status something I set?

For a running campaign, the status is derived from batch progress rather than set by hand. You do control start, pause, and resume.

What does Completed mean exactly?

Every batch has been sent, so the full audience has received an invitation. It does not mean everyone responded.

What should I do about an Error status?

Can a Paused campaign complete on its own?

No. A paused campaign stays paused until you resume it. Only then do remaining batches send.
